Sound familiar?
Most cleanups start with one of these.
- Your CPA sent the books back Your tax preparer said the books need work before they can file, or asked for statements you can't produce.
- Reconciliations stopped months ago The bank feed kept importing, but nobody has matched it to a statement in a while.
- "Uncategorized" keeps growing Uncategorized Income, Uncategorized Expense, or Ask My Accountant are holding real money.
- The P&L doesn't match the bank Reported profit and the cash in your account tell two different stories.
- You filed an extension The deadline moved. The books didn't. An extension buys time, not clean records.
- You inherited someone else's file A previous bookkeeper, partner, or office manager left, and nobody can explain their entries.
Cleanup specific to your industry
A generic cleanup categorizes transactions. Service businesses also have trust accounts, project costs, and commission payroll that have to tie out before the books are worth anything.
Law Firms
Trust account reconciliations brought current, client ledgers tied to the IOLTA balance, and matter-based expenses separated from firm overhead.
Engineering Firms
Project costs and contractor payments assigned to the right jobs, WIP schedules rebuilt, and billable hours reconciled to invoices.
General Contractors
Job costing restored, subcontractor payments matched to jobs, and lien waiver tracking caught up so every project shows its real margin.
Salons & Medspas
Service and retail revenue split correctly, booth rent and commissions reconciled, and sales tax collected tied out to the books.
What you get, and when
"Tax-ready" is easy to promise and hard to check. Every cleanup ends with a defined set of deliverables, so you know exactly what you're paying for.
How it works
- 15 minutes
Free books review
We look at how far behind you are, how many accounts are involved, and what shape the file is in. No prep required.
- 1 business day
Fixed quote
You get a written, flat price. It doesn't change once work begins. You pay a 50% deposit to start and the balance at delivery.
- 2–4 weeks for most
The cleanup
Most cleanups are finished in 2–4 weeks once we have your statements and access. Larger projects get a timeline in the quote.
- At handoff
Get your books back
You get the full package. If you want us to keep the books current, your first three months of monthly service are 10% off.
Your handoff file
- Every transaction categorized
Each line reviewed and coded to your chart of accounts, with duplicate imports removed and personal charges separated out.
- Every account reconciled
Bank and credit card accounts reconciled month by month to the statements, with old uncleared items resolved instead of carried forward.
- A corrected chart of accounts
Duplicate accounts merged, misclassified accounts fixed, and names your CPA recognizes at a glance.
- Financial reports for the full period
A Profit & Loss and Balance Sheet covering the cleanup period, tied to real bank balances, ready for you and your CPA.
- A summary of significant corrections
A plain-English list of the larger adjustments we made and why, so nothing in the file is a mystery later.
- Coordinated CPA handoff
If you work with a CPA, we coordinate delivery so they get the records in the format they need.
A clean P&L is only as good as the reconciliations under it. That's why every cleanup starts with the bank statements, not the reports.
FAQ
Something not covered here? Call 512-348-6584 or ask in the form below.
I'm more than a year behind. Can it still be fixed?
Yes. As long as bank and credit card statements are available for the period, the books can be rebuilt. For files two or more years behind, we scope the work during the free review and give you a fixed quote.
Can the price change after you start?
No. Your quote is firm and provided before any work begins, and that's the price you pay.
How do I pay for a cleanup?
You pay a 50% deposit to start and the balance at delivery. Nothing is due until you approve the written quote, and the balance comes due when we hand off the finished books.
How long does a cleanup take?
Most cleanups are finished in 2–4 weeks once we have your statements and access. Larger or multi-year projects get a specific timeline in your quote.
What do I need to send you?
Bank and credit card statements for the cleanup period, access to your QuickBooks file, and anything you have on loans or payroll. After the review we'll tell you exactly what's missing.
Will you fix my existing QuickBooks file or start a new one?
Usually we fix the existing file so your history stays in one place. If a file is too damaged to trust, we'll explain why during the review and recommend the cleaner option.
Do I have to sign up for monthly bookkeeping afterward?
No. Cleanup is a one-time service. Pair your clean-up with a monthly plan and receive 10% off your first three months.
What exactly does my CPA receive?
Reconciled accounts, a Profit & Loss and Balance Sheet for the full period, the corrected chart of accounts, and a summary of the significant corrections we made.
Do you file back taxes or amended returns?
No. We're bookkeepers, not tax preparers. We get the books into shape so your CPA or tax preparer can file prior-year or amended returns from them.
What's the difference between cleanup and catch-up?
Catch-up means recording months that were never entered. Cleanup means fixing months that were entered wrong. Most files that are behind need some of both, and our pricing covers either.
